These Customer and User Terms and Conditions were updated on 01-September 2024 and are effective from that date.
Thank you for using the CloudCfo Web App, a web-based process and task management application (the “Web App”) to support the provision of accounting, bookkeeping, payroll and finance services offered to clients globally by the CloudCfo group of companies (the “CloudCfo Services”).
These Customer and User Terms and Conditions (the “Terms”) outline your rights, responsibilities and obligations when using the Web App.
These Terms govern the access to and use of the Web App by a) CloudCfo Customers (see definition below in Section 3) and b) users who have been authorized to use the Web App on behalf of a Customer or organization (“Authorized Users”).
The Web App was developed by, and is proprietary technology owned by, CloudCfo Pte. Ltd., a company incorporated under the laws of Singapore, having its registered office at 160 Robinson Road, #14-04 Singapore Business Federation Centre, Singapore 068914.
These Terms will help Customers and Authorized Users to understand how the Web App works, legitimate and appropriate conduct, rights and responsibilities, security measures, access rights, ownership rights, liability and how information is used, processed and maintained within the Web App.
Your use of the Web App requires that you agree with and consent to these Terms. Please ensure to review the Terms carefully prior to confirming your agreement. If you do not agree to any of these Terms, you should not use the Web App.
These Terms constitute a legally binding agreement between you and whichever entity the Customer has contracted with for the purposes of engaging CloudCfo’s services under the primary CloudCfo service agreement (the “Service Agreement”).
Save for in limited circumstances, the CloudCfo entity with which a Customer will contract under the Service Agreement will generally be based on the domicile location of the Customer, as outlined below:
CloudCfo, Inc. will be the CloudCfo contracting entity for Customers domiciled in the Philippines. CloudCfo, Inc. is a company incorporated under the laws of the Philippines, with registered business address of 2F Paragon Plaza, 162 EDSA cor. Reliance Street, Mandaluyong, Metro Manila; and
CloudCfo Pte. Ltd. will be the CloudCfo contracting entity for Customers domiciled outside of the Philippines. CloudCfo Pte. Ltd. is a company incorporated under the laws of Singapore, having its registered office at 160 Robinson Road, #14-04 Singapore Business Federation Centre, Singapore 068914.
For the purposes of these Terms, any reference to “CloudCfo”, “We”, or “Us” shall refer to the CloudCfo entity with which the Customer has engaged and contracted. Further, any reference to “You” may refer to a Customer or an Authorized User, depending on the applicable capacity of the individual or company reading and agreeing to these Terms.
Customers and Authorized Users must use the Web App in accordance with these Terms and any additional Web App policies in place from time to time. If you violate these Terms or any such additional policies, CloudCfo reserves the right to take any form of action in relation to the relevant Customer or Authorized User account, which includes disabling, suspending or terminating an account. For further information on the Termination of these Terms and access to the Web App, please reference the section entitled “Termination” below.
You must be 18 years or older to use the Web App.
If you are accessing or using the Web App as:
A Customer, you are representing and warranting that you have the required power, authority and capacity to fully bind the Customer to these Terms and that you have fully informed all Authorized Users of all internal policies and practices that are relevant to the lawful processing of Customer information and other information and appropriate use of technology and computer systems;
An Authorized User, you are representing and warranting that you have the power, authority and capacity to act on behalf of the Customer and have all necessary authorities, consents and rights, under contract or applicable law, to upload and process all information via the Web App.
For the purposes of these Terms, the following definitions shall apply:
Customer: A Customer is the company or organization that has contracted with CloudCfo for the purposes of engaging the CloudCfo Services. Any decision and actions agreed and/or taken by the Customer will be taken via the main Customer representative(s) identified by the Customer to the CloudCfo Team. In the case of one person businesses, whether registered or not, the “Customer” shall be the business principle.
Authorized User: Any individuals who are authorized by the Customer to receive logins and access to the Web App in order to support the Customer with its engagement with CloudCfo.
CloudCfo is fully committed to protecting all Personal Data that is processed via the Web App, including Customer data. For this reason, we have developed the Web App Privacy Policy which outlines how we treat, collect, use, store and protect Personal Data uploaded by you, or by CloudCfo on your behalf, via the Web App.
You should review the Web App Privacy Policy to understand our policies in relation to Personal Data and to understand the rights of Data Subjects whose Personal Data has been uploaded into the Web App.
Outlined below is a list of Acceptable and Unacceptable conduct and activities that Customers and Authorized Users must adhere to at all times when using the Web App:
Acceptable Use
Comply with and adhere to these Terms at all times when using the Web App;
Use the Web App solely for legitimate commercial purposes related to and in support of the engagement between CloudCfo and the Customer for the CloudCfo Services;
Keep all account access and login details (username, password, etc) safe, secure and confidential at all times.
Only upload or download information, including commercially sensitive information and Personal Data, which a Customer or Authorized User owns or is authorized to upload or download, either under contract, allowed under any applicable laws or pursuant to the consent of Data Subjects;
Assume full responsibility for all activities, actions, uploadings, downloadings and omissions that occur within your account or under your user name or password and ensure ongoing monitoring of your account at all times;
Inform the CloudCfo Team (support@cloudcfo.ph) immediately if there is any reason to believe or suspect that illegal activity, unauthorized activity, a Personal Data breach or a security breach of any type has occurred in relation to your Web App account.
You must not authorize any third party to use your account. CloudCfo is not liable for any: harm caused, theft or misappropriation of your user name or password, disclosure of your user name or password or authorization by you for a third party to use your account. You must notify CloudCfo immediately if you believe there is or might have been any unauthorized use of your user name or password or if you believe there is an urgent need to deactivate your Web App account due to serious security concerns;
Comply with all relevant laws that might be applicable to any conduct or activity you engage in when using the Web App. This includes, but is not limited to, all copyright and intellectual property laws and data privacy laws.
Unacceptable Use
Use the Web App to copy, distribute or use any information for any commercial or personal reasons other than for the purposes relating to the engagement between CloudCfo and the Customer. This includes the sending of unsolicited communications via the Web App.
Misrepresenting your identity or credentials through the provision of false or misleading information;
Engaging in any illegal, fraudulent or criminal activities, whether deliberate or incidental;
Gaining or trying to gain unauthorized access to any other part or feature of the Web App, or any other systems, servers or networks connected to the Web App or to any other user accounts;
Causing damage of any kind to CloudCfo or any other user, business, entity or third party;
Installing any malicious code, viruses, worms, spam, deep links, page scraping tools, bots or potentially destructive software or taking any similar actions which may potentially interfere with or compromise the security, confidentiality, privacy, safety or general functionality of the Web App or Web App users;
Copying, replicating and/or using in any way any trademarks, logos, images, graphics, text, designs, layouts or any other form of CloudCfo proprietary data from the Web App;
Probing, scanning or testing the vulnerability of the Web App or any network or server connected to the Website, or breaching or attempting to breach the security or authentication mechanisms of the Web App;
Using the Web App to transmit, distribute or store material or information which is inappropriate, obscene (including pornography and child pornography), defamatory, libelous, threatening, abusive, hateful, excessively violent, discriminatory, prohibited under law or morally, ethically or politically objectionable.
Use or activity which contravenes any laws, regulations or statutes in any applicable jurisdictions or which contravenes any rights (e.g. property, civil, privacy, etc) of any Web App user or third party.
The Web App may enable Customers and Authorized Users to access and utilize third-party applications and products via an integration or other form of connected system with the Web App. For example, standard email providers (e.g. Gmail, Microsoft Outlook, etc) may be utilized as an email integration between the Customer and the Web App.
Customers and Authorized Users must note that these Terms and the Web App Privacy Policy apply only to the use of the Web App. Use of or integrations with third-party applications or products shall not be the responsibility of CloudCfo as such applications and products will be governed by their own third party terms and policies which will be the terms and policies applicable to the use of such applications and products.
CloudCfo does not guarantee the reliability of such third-party solutions or applications and we will not be liable for any loss or damage arising out of the use of such third party solutions or applications.
CloudCfo acknowledges that the privacy, confidentiality and security of the information you upload, or we upload on your behalf, and maintain on the Web App, is of critical importance to our Customers.
We seek to impose strict standards of security and confidentiality and maintain physical, electronic and procedural safeguards to protect the information uploaded to and maintained on the Web App. We implement various appropriate technical, organizational and security measures against unauthorized or unlawful access to information uploaded and stored upon the Web App.
For further detailed information on the security practices applicable to the Web App, see Appendix 1 of these Terms, entitled “Security Practices and Protocols”.
To access the Web App, Customers and Authorized Users will be required to use a technological device such as a laptop, cellular phone, tablet or other web-enabled digital device. Such devices are not supplied by CloudCfo and must be provided and maintained properly by the Customer or Authorized User.
The Web App should only be accessed and used through a device owned or controlled by the Customer or Authorized Users.
Customers and Authorized Users are solely responsible for keeping their own digital devices and, consequently, their Web App account safe and secure at all times.
CloudCfo may collect device-related information from users who access the Web App such as the hardware model, operating system information, signal strength, wifi detectors, cookie data, browser information, IP address, mobile network information and/or telephone numbers. We collect this information to enable us to perform analysis and assessments on user activity and to improve the overall service levels of the Web App.
CloudCfo is the proprietary owner of the Web App and shall continue to own the Web App at all times during your use of the Web App.
All intellectual property and/or intellectual property rights (including rights which may be implied, express, registered, unregistered or in the process of being registered), relating to the Web App or to CloudCfo shall remain the exclusive property of CloudCfo, including any of its subsidiaries or affiliates, at all times, and are protected by various copyright, patent and trademark laws and other applicable intellectual property-related laws.
The Web App is only available to the Customer and Authorized Users for as long as the Customer is an engaged client of CloudCfo. During this engagement the Customer and Authorized Users are granted a non-exclusive, non-assignable, non-transferable, non-sublicensable, limited, fully revocable and royalty-free license to use the Web App in accordance with these Terms. This license is granted solely for the purpose of enabling the use of the Web App in accordance with the acceptable use activities outlined in these Terms and to enable the provision of the services under the Service Agreement. Any rights that are not expressly granted to a Customer or Authorized User by these Terms are hereby retained by CloudCfo.
When the engagement under the Services Agreement between CloudCfo and the Customer is terminated, howsoever arising, all rights to access, use or any activity on the Web App shall also terminate. For further information, see the “Termination” section below.
The copyright and any other intellectual property or intellectual property rights in any materials or documents that CloudCfo uses or prepares for and provides to the Customer or Authorized User (templates, database designs, software, draft documents, reports, charts, etc) during the engagement with CloudCfo belongs to us and shall remain owned by CloudCfo at all times.
You may not use any CloudCfo copyright, trademarks, domains, logos, trade descriptions, patents, or other intellectual property rights unless you have express advance permission from CloudCfo.
Intellectual property and intellectual property rights include but are not limited to patents, logos, trademarks, service marks, utility models, know-how, copyrights (including copyright in computer programs), inventions, domain names, moral rights, designs, software codes, databases, software, service or product specifications, knowledge information, technical and design processes.
Any copyright, intellectual property or intellectual property rights that belong to the Customer and which is contained within any information or documents that a Customer or Authorized User provides, uploads or transfers to the Web App, shall remain owned by the Customer. In this regard, Customers and Authorized Users must always ensure to have the relevant authorizations, rights and consents to be able to upload such information via the Web App.
In relation to the above provision, you grant CloudCfo a worldwide, non-exclusive, royalty-free, sublicensable and transferable license to use the information uploaded as required by CloudCfo for the limited purpose of performing the CloudCfo Services through the use of the Web App.
During our engagement, you will be transferring, providing or uploading Confidential Information to the Web App. This is to enable CloudCfo perform the services as outlined under the Service Agreement.
Confidential Information is all business, commercial or technical information (written, oral, visual, electronic or digital) relating to the Customer’s businesses and shall include but is not limited to business plans, marketing plans, technical information, design information, databases, trade secrets, strategy documents, hardware/software prototypes or codes, forecasts, client lists, inventions and business know-how.
CloudCfo shall not use Confidential Information for any reason other than in connection with our obligations to perform the services under the Services Agreement.
CloudCfo agrees to keep all Confidential Information transferred in the strictest of confidence and to protect such Confidential Information with the same level of protective and security measures that would be applied to our own Confidential Information and ensure it is at all times free from misuse, unauthorised third party access or unauthorised disclosure.
Confidential information will not be disclosed to any third party, except for where:
you have consented;
disclosure is required by law or a regulator/enforcement authority;
the information is already in the public domain; or
it is required for legitimate purposes by CloudCfo professional advisers.
If CloudCfo is compelled to disclose your Confidential Information under any law, regulation or government request, we will inform the Customer prior to disclosure.
If any Confidential Information transferred to CloudCfo has been disclosed, inadvertently or deliberately, we shall notify you immediately.
As part of your use of the Web App, you may receive service announcements, features announcements, software updates, administrative messages, task notifications, delay notifications, update messages and other forms of notification and announcements. You agree and consent to receipt of such notifications and announcements.
Within the Web App, you will find settings that can help you to control the communications or notification that you receive as a Web App user.
CloudCfo shall not be liable to the Customer or Authorized Users or any of their affiliates, parents, employers, directors, subsidiaries, partners, employees, contractors, officers, agents, any entity on whose behalf they are acting or any other third parties, for any incidental, special, consequential, direct or indirect damages, losses or loss of profits of any kind, or for any damages whatsoever (including if CloudCfo has been advised of the possibility of such damages or losses), including, without limitation, those resulting from any loss of use, data or profits, whether in action of contract, negligence or other tort action arising out of or in connection with the Customer’s or Authorized Users’ use of or access to the Web App.
You must inform CloudCfo immediately if you become aware of any potential liability. You must make reasonable efforts to limit any potential damages or losses.
CloudCfo will not be liable for the nature of any content or information uploaded or stored by a Customer or Authorized User via the Web App.
You agree not to bring any claim, demand or actions, legal or otherwise, against any CloudCfo employees, officers, shareholders, directors or managers in their personal capacity.
From time to time, the Web App may include or reference links to third-party websites, applications or resources which are not under the responsibility or control of CloudCfo. CloudCfo does not warrant or guarantee the accuracy of any such resources.
Customers and Authorized Users will use the Web App at their own risk and subject to the following disclaimers.
The Web App is provided on an “as-is” and an “as-available” basis for Customers and Authorized Users. CloudCfo does not provide any warranty or guarantee, express or implied, in relation to the functionality of the Web App, including but not limited to fitness for purpose, security, freedom from defects, viruses or other computer or technology-related issues which may harm your devices or technology or IT systems and networks.
CloudCfo is not responsible for how you interact or engage with any third parties and as such, you release CloudCfo from any claims, disputes, causes of action, complaints or any other form of controversy that you might have or bring against any third party.
Any information or content uploaded or downloaded or otherwise obtained via the use of the Web App will be at your own discretion and risk and you will be solely responsible for any adverse consequences of such uploads or downloads, including any data loss or computer system issues that might result from such activities or conduct.
You acknowledge and agree that there exists significant risks of communicating through and uploading information online in general, including data corruption, viruses, malicious software, hacking, unauthorized access, compromise of confidentiality, disrupted communications, server issues and system downs. While we do take appropriate security measures to protect against unauthorized disclosures of information, we cannot guarantee that such information will never be disclosed in a way that is inconsistent with these Terms (including the Privacy Policy). CloudCfo will not be responsible or liable for damages or losses arising from any delay in communications, system failures, system downs, viruses, malware, corruptions software, licence failures or information loss (personal or otherwise) due to hacking.
There may be instances where the Web App is adversely affected by acts of nature. While CloudCfo will ensure to undertake all measures to maintain continuity of the Web App, there may be network or equipment failures, maintenance outages or repairs required which may cause service interruptions from time to time.
If any third party initiates or brings a claim against any CloudCfo group company which relates to any actions undertaken by you in relation to or via the Web App, the Customer or Authorized User will, to the maximum extent permitted by applicable law, defend, indemnify and hold harmless CloudCfo, including its subsidiaries, affiliated companies, and their respective officers, directors, employees, contractors and agents from and against any and all claims, causes of action, damages, liens, obligations, losses, liabilities, costs, debts and expenses (including reasonable legal fees and costs) and all amounts paid in settlement arising from or relating to (a) your use or misuse of, or access to, the Web App or any part of the Web App (b) any information contained on the Web App (c) your contravention of these Terms, or (d) contravention or infringement by you of any intellectual property or other rights of any person or entity.
These Terms and your access to the Web App shall remain effective for the duration of the engagement under the Service Agreement with CloudCfo. Termination of the Service Agreement will result in the termination of these Terms and termination of the Customer’s and the Authorized User’s access to the Web App.
Notwithstanding the above provision, CloudCfo may terminate access to the Web App of any Customer or Authorized User at any time if they are found to have breached any of these Terms or breached any relevant law. The Customer will be, at all times, responsible for its Authorized Users, including for any breaches of these Terms caused by its Authorized Users.
In advance of termination of the accesses granted to Customers and Authorized Users and subject always to any fees or payments outstanding to CloudCfo at that time in relation to the CloudCfo Services, CloudCfo will return all Customer data and information in accordance with CloudCfo’s Customer offboarding protocols and policies.
CloudCfo reserves the right to vary, revise, update, amend, alter or modify these Terms from time to time at its sole discretion.
Any changes will be made via a revised Terms. Upon login to the Web App, you will be asked to read, agree and consent to any such revised Terms.
If you continue to use the Web App in any way after being notified of a change to these Terms, you acknowledge your understanding and agreement to the revised Terms. Please make sure you have the necessary authority to enter into the revised Terms before proceeding.
These Terms shall be governed by and interpreted in accordance with the laws of the Philippines and any disputes arising shall be subject to the exclusive jurisdiction of the courts within Metro Manila, Philippines.
Clause headings are for ease of reference only and shall not affect the interpretation of these Terms.
In the event that any of the terms in these Terms are held or deemed to be invalid or unenforceable, wholly or in part, by a judge or court of competent authority, all other provisions will remain valid and fully enforceable.
These Terms contain the entire agreement between you and the relevant contracting CloudCfo entity in relation to terms of use of the Web App. Any previous understanding, agreement, representation or warranty relating to the Web App is superseded by these Terms and has no further effect.

At CloudCfo, we take Data Security seriously!
We treat the data we process and the security of the systems that we use to process that data with the greatest levels of importance and priority.
Accountability and transparency are key values that we adhere to across everything we do at CloudCfo. In line with this, we have outlined below the key technical features of the CloudCfo Web App together with the various measures that we have in place to ensure the safety, integrity and security of all data that passes through the CloudCfo Web App.
The CloudCfo Web App is utilized by the CloudCfo Team and offered to Customers as an online process management system via cloud computing technology services.
CloudCfo does not own the cloud services or servers that we utilize to operate the CloudCfo Web App. Instead, CloudCfo relies on a market leading cloud services provider and associated cloud-based tools for the purposes of our cloud computing and hosting requirements. This approach aligns with the standard market practices of the large cloud-based platforms utilized globally by both individual consumers and corporates.
The CloudCfo Web App is hosted via cloud-based infrastructure provided by Amazon Web Services, Inc., more commonly known as AWS.
All Customer Data submitted to and collected via the CloudCfo Web App is stored and managed on the AWS servers. At present, the AWS servers that currently host the CloudCfo Web App and Web App data are located in the US West Region (Oregon). This is, however, subject to change as AWS cloud infrastructure spans across 93 “Availability Zones” within 29 geographic regions around the world. The CloudCfo Web App may, in the future, be stored in multiple locations within AWS’ data centers based on AWS’ own internal systems and processed for data storage and management.

The CloudCfo Web App has been built using Single Tenant Architecture, a commonly utilized form of architecture across SaaS business models and cloud-based platforms. By leveraging Single Tenant Architecture, CloudCfo provides for one single instance of the CloudCfo Web App software application (www.cloudcfo.app.ph) and supporting infrastructure.
Within the CloudCfo Web App Single Tenant Architecture set-up, all data, interactions and communications of each Customer are kept entirely separate from all other customers. Sharing of, or access to, data across various Customer accounts is restricted and prevented. This means that a Customer or member of the CloudCfo Team cannot access any Customer account or Customer data to which they have not been authorized or granted access. Each CloudCfo Customer will only ever have access to their own Account (and potentially, just one part of that Account depending on access levels) which is maintained separately within their own Customer account.
The CloudCfo Web App provides for end-to-end encryption. The CloudCfo Web App is encrypted through the utilization of best practice encryption methods and software to ensure the optimum levels of protection for our Customers’ data.
Specifically, all data is encrypted via secure Hypertext Transfer Protocol Secure, more commonly known as HTTPS encryption. With end-to-end encryption, the entire flow of data is encrypted, including from the point the customer submits or transmits data to the Web App, across the Web App network and also across the Web App database which stores and maintains the data.
Further, the CloudCfo Team is at all times monitoring best practice tools and practices from the perspective of encryption and updating the HTTPS encryption software immediately upon new updates and releases.
The CloudCfo Web App security protocols provide for industry standard Firewall protection through utilization of the AWS Network Firewall.
AWS Network Firewall is a stateful, managed, network firewall and includes intrusion detection and prevention service managed through AWS for each virtual private cloud (VPC) network (including the CloudCfo Web App cloud network).

CloudCfo has a dedicated Customer Support team to assist with any issues, queries or clarifications that may arise through use of the CloudCfo Web App from time to time.
The Web App includes a Customer Support Portal where Customers can easily and efficiently raise tickets directly through the CloudCfo Web App platform. The CloudCfo Customer Support Team can also be contacted directly via email at support@cloudcfo.ph. Upon receipt of a ticket or email, the Customer Support Team will act immediately to contact the Customer and resolve any issues.
Separately, the CloudCfo Customer Support Team also performs regular monitoring and testing of the CloudCfo Web App and network at regular intervals to ensure the Web App is operating at full capacity at all times.
While we do not guarantee 100% uptime for the Web App. However, CloudCfo does follow the industry best practices to ensure reliability of the CloudCfo Web App system and the CloudCfo Teams works diligently to ensure that our customers benefit from the highest levels of uptime possible when using the CloudCfo Web App and will not suffer from the perspective of business continuity. The CloudCfo Web App is built on multi-server architecture providing for an additional level of fault-tolerance (i.e. failures of individual servers should not significantly impact functionality of the Web App). CloudCfo also aims to prevent disruptions arising from a single point of failure by utilizing multiple servers.
CloudCfo has also deployed industry-best practices of automated Logging and Alerts to identify, without delay, any issues or potential issues that have arisen, or might arise, which impacts the reliability of the Web App. The CloudCfo Web App continuously sends information to a centralized logging service (for network systems) in order to enable ongoing security reviews and analysis. CloudCfo maintains a high performing centralized logging environment via AWS within the Web App’s production environment. Such Web App logs are then analyzed for security incidents or failures via an automated monitoring system, which is then also monitored and reviewed by the CloudCfo Product Team.
From time to time, a Force Majeure Event can arise which is entirely out of our control but which can impact the functionality of the CloudCfo Web App. A Force Majeure Event may include natural events such as floods, earthquakes, tsunamis, hurricanes, pandemics, or human-caused events such as hacking, cyber attacks, fraud, theft and infrastructure sabotage or technology-failure related events such as grid failures, line damages, black-outs, etc.
CloudCfo is prepared for such eventualities and the CloudCfo Team will, to the extent possible within their technical capabilities and subject to legal requirements, assist all Customers with any necessary data recovery requirements arising as a result of such Major Events occurring.
CloudCfo follows market standard data replication, restoration and backup protocols and procedures. This enables the recovery of data where the need arises, such as in a Force Majeure Event (see above). In particular, CloudCfo focuses on two key measures for ensuring a robust disaster recovery plan in the even of an unanticipated disaster event or Force Majeure event - Data Replication and Data Back-Up.
Data Replication - Our Customer Database, and the data contained within, are replicated in real-time on a daily basis. Replication involves the ongoing process of copying data from a main server to another server. The Replication process ensures that Customers can continue to access critical data from the “replicated” server during a time where the primary server is not functioning.
Data Back-Ups - The entire CloudCfo Web App platform, together with its source code, are automatically backed up on a daily basis. This means that a Customer’s database can be restored and reproduced to a specific point in time prior to an event arising and significantly reduces the risk of data loss in the event of a Force Majeure Event or other such disasters or failures. Data that has been backed-up by the Web App is deployed by the CloudCfo Team on a regular basis for the purposes of monitoring and testing.
The CloudCfo Team is constantly working to ensure that the CloudCfo Web App offers the highest level of Customer experience. As a result, from time to time, there may be short periods of time where the CloudCfo Web App experiences downtime.
CloudCfo has in place processes and protocols for managing and coordinating instances of Scheduled Downtime. This includes advance communication to both the CloudCfo Team and to all CloudCfo Customers identifying the time at which the CloudCfo Web App will be offline and the expected duration of such downtime. Any scheduled Downtime shall be performed outside of business hours and in such a way as to create the least possible friction or inconvenience for CloudCfo Customers.
CloudCfo retains management and control over all Customer user accesses and accounts. This provides for a two layered access security mechanism involving an instruction from the Customer’s representatives and implementation by CloudCfo.
Updated user access logs are available at all times upon request by Customers. Customer representatives with the higher level of user access will also be able to view the user access connected with their Customer account.
The CloudCfo Team can remove access of any user at any point of time remotely and immediately upon instruction.
The CloudCfo Web App benefits from having appropriate technical, physical and organizational measures in place to ensure the protection of all Customer Data which is collected, processed or stored via the CloudCfo Web App. Such measures are designed to protect against any accidental or unlawful destruction, loss, alteration, and unauthorized disclosure of or access to Customer’s personal data that is being processed or transmitted through the CloudCfo Web App.
Customers must also be aware that their own representatives or Team will have access, upon instruction by the Customer, to the Web App and data contained within. As such, Customers will also be responsible for ensuring that they also have the appropriate measures in place to ensure that their representatives or designated users are acting in accordance with the Customers’ own policies and protocols.
From time to time and as required, the CloudCfo Team will conduct penetration and system vulnerability testing, using top industry standard tools and software, to ensure the highest level of protection and security within the Web App.
The CloudCfo Team is constantly working on the delivery of new features and the overall optimization of the CloudCfo Web App in order to provide Customers with the highest levels of customer experience.
Any such new features, designs, optimizations or significant changes of any kind will be subject to a strict security review and testing process facilitated by the CloudCfo Team.
CloudCfo monitors the CloudCfo Web App for unauthorized intrusions through the logging, records and ticketing facilities available within the Web App architecture. This enables the CloudCfo Team to continuously update security practices and mitigate against potential new risks or threats.
CloudCfo has developed and maintains company wide security incident management policies and procedures for any issues or incidents that may arise and which may have a potential adverse impact on both the Web App and the day-to-day operations of CloudCfo.
These policies and procedures require that, in the event of a breach or security incident, all impacted stakeholders (e.g. Customers, employees, developers, Data Subjects, etc) will be notified of the incident immediately and without delay, together with a description of the steps that CloudCfo is taking to remedy the issue/incident or mitigate against any potential risks.
The CloudCfo Web App provides all Customers with the ability to export their own Customer Data (from within their own Customer Account to which they must have access), on a per project basis, to a CSV file format, which can then ultimately be viewed in a spreadsheet application such as Microsoft Excel or Google Sheets.
As an additional security feature, the ability to export Customer Data will only be available to such Customer representatives who have been authorized with such level of user functionality to be able to export data from the Web App.
We place strict controls over our employees’ access to Customer Data and Customers Accounts on the Web App. The operation of the CloudCfo Web App and CloudCfo services require that CloudCfo employees will have access to the systems which store and process Customer Data. Only those CloudCfo employees who are authorized and instructed to access Customer Data and Customer Accounts shall be entitled to do so. CloudCfo monitors and manages User Accounts on an ongoing basis to ensure the correct levels of access and authorization have been provided and updated.
Our employees will be bound by our internal policies regarding Security, Information Systems, Confidentiality and Data Privacy. We view such matters with the highest levels of importance across the CloudCfo organization.

As such, we have implemented necessary technical, organizational and physical measures, in line with best practice and Data Privacy principles, to ensure that all Personal Data that is processed by or within the Web App is protected and secure at all times.
We fully understand and respect the fundamental importance of the Data Privacy rights of all individuals who may upload Personal Data, or have their Personal Data uploaded and processed by a third party, via the Web App.
